What you'll lose when your work account closes
Your Google Workspace account at a company belongs to the company, not you. The day you leave, IT will lock or delete it. That means:
- Every file you created and stored in the work Drive — gone
- Personal notes, reference docs, templates you built over years
- Files shared with you by colleagues
- Work email history (depending on company policy)
The files you own are yours to take. The files colleagues created and shared with you are not.
Step-by-step: move your files before you leave
- Do this 1–2 weeks before your last day — not the day before.
- Go to DriveSwap and sign in with your personal Gmail.

What about files owned by your employer?

Most employment contracts have IP assignment clauses. Work product created during employment typically belongs to the employer. Personal notes, personal templates, and files unrelated to work are generally fine to keep.
When in doubt, check with HR before your last day.
Why not just use Google Takeout?
Google Takeout downloads a zip of your files — but it converts everything. Google Docs become .docx files, Sheets become .xlsx. You'd then need to re-upload them and they'd open as imported Office documents, not native Google Docs.

Can I transfer my work Google Drive to my personal account?
You can transfer files you own. Files you don't own (created by teammates) can't be transferred — only the owner can do that. DriveSwap will copy everything you have permission to export.
Will my employer know if I download my Google Drive files?
Possibly. Google Workspace admins can view audit logs that include file access and downloads. If you're taking personal files you created, you're generally within your rights, but check your employment contract's IP clauses.
How quickly do companies lock Google accounts after termination?
Immediately to 24 hours is common. IT teams typically lock accounts on the last day of employment or the moment HR notifies them of a departure. Do not wait until your last day.
What if my employer already locked my account?
Contact IT and request access to export personal files. Many companies have an offboarding process for this. If you're past that point, the files may be unrecoverable.
