Why your school deletes your account
Universities license Google Workspace for Education per enrolled student. Once you graduate, you're no longer enrolled — and your account costs them a seat license they're no longer paying for. Most schools give alumni a grace period, but it ends.
The grace period varies widely. Some schools send email warnings. Many don't. By the time most graduates think about their school Drive, the deadline has already passed.
Typical deletion timelines
These are estimates. Check your school's IT/help desk page for the exact date.
What actually gets deleted
Everything in your school Google account:
- All Google Drive files — Docs, Sheets, Slides, PDFs, images, videos
- Files shared with you (you'll lose access even if the owner keeps their account)
- Gmail history and attachments
- Google Photos in the school account
- Google Sites, Forms, and any other Workspace apps
There is no export warning, no archive, and no recovery window after deletion. Google treats the account as closed and purges the data.
The right way to transfer your files
You have two real options: Google Takeout and DriveSwap. They work very differently.
Google Takeout downloads a zip file of your Drive. Every Google Doc becomes a .docx, every Sheet becomes an .xlsx. You then have to manually re-upload everything. The files are no longer Google Docs — they're Office files that open in Google as imported documents, not native.
DriveSwap copies files directly from your school Google account to your personal Gmail account via Google's API. Google Docs stay Docs. Sheets stay Sheets. Your folder structure is preserved. Nothing touches your computer. Takes 5–15 minutes depending on how many files you have.
Move your files before the deadline
Free for up to 500 files. Connect both accounts, pick your files, done in minutes.

How long after graduation do I have access to my school Google Drive?
Most universities give 30–180 days after graduation or the end of the semester. Some schools delete accounts within weeks of your last enrolled term. Check your IT department's website for the exact date.
What happens to my Google Docs when my school account is deleted?
They are permanently deleted. Google does not send your files anywhere — they are simply gone. There is no recovery after the account is deactivated.
Can I transfer my school Google Drive to my personal account?
Yes. DriveSwap copies files directly between your school Google account and your personal Gmail account. Google Docs stay as Docs, Sheets stay as Sheets — no format conversion. Takes 5–15 minutes.
Is Google Takeout the same as transferring my Drive?
No. Google Takeout downloads a zip file of your files converted to Office formats (.docx, .xlsx). It does not transfer to your personal Google Drive. DriveSwap moves files directly account-to-account while keeping native Google formats.
